Privacy Policy

Firstly, we would like to thank you for visiting our website. 
We place great importance on protecting your privacy, which is why below, you will find details on how we process your data.
Your data will never by passed on to third parties for commercial purposes. It is stored by our provider Octave, which provides us with its e-commerce solution, based on its ‘integrated management software suite’. This data allows us to track and monitor your orders, send you your invoices, have your orders delivered to the correct address, contact you in the event of problems relating to your purchases, and allow you to track your packages.

1. Data collected when an account is created and how it is used

Not all the information we ask for has to be provided. Information you do provide us with will be used for specific purposes, as detailed below.
  • Email address: this will be your unique username and as such, multiple accounts may not use the same email address. Your email address will be used to send you important information, such as confirmation your account has been created or your password if you forget it.
  • Password: this is necessary to log into your account and keep it secure. You may change it and we have access to it.
  • Title: this allows us to address you with the courtesy you deserve.
  • Surname and first name: because you are a person, not a number.
  • Date of birth: this information is not mandatory.
  • Full address: this will be the main delivery address for your orders.
  • Telephone number: only the mobile phone number field is mandatory. This is used by our customer service team to send you important information about your orders. It will also be passed on to the courier you have chosen to deliver your order.
  • Fax number: this information is not mandatory.
  • Company name, legal structure, and VAT or SIRET (French business registration number): this information is only required for traders, and will be used to identify you and determine your business activity. Your SIRET number will allow us to apply any relevant discounts to your account. 
When you are logged in, we are able to see which items you put in your basket, even if you do not place an order.

2. Data collected when an order is placed and how it is used

  • To place an order on the KIMEX website, you must have an account and be logged in. 
  • When you place an order, a confirmation will be sent to the email address you use to log in.
  • Once your order has been dispatched, we will send another email to this email address, containing your invoice and a link to allow you to track your package.
  • Title, surname and first name of the recipient, if different from the main contact person on your account.
  • Full delivery address, if different from the main address on your account.
  • Telephone number of the recipient (there is no specific field for this information, but we may ask you for it and include it in the ‘locality’ field to allow our staff and the courier to ensure your package reaches its destination).

          3. Data collected when you ask us a question using the link on a product page and how it is used

          • Email address: this allows us to contact you and answer your question.
          • Surname and first name: because you are a person, not a number.

          • Title: this allows us to address you with the courtesy you deserve.

          5. Using data for our newsletter

          We use your email address to send you our newsletter. The legal basis for this processing is your explicit consent. 
          You may provide such consent by entering your email address into the Newsletter field on our home page, when creating your account, or by checking the box ‘I would like to receive the KIMEX newsletter’ in the My Account area.
          By subscribing to our newsletter, you thereby give us permission to use the data you have provided us with to send you our newsletter by email on a monthly basis. 
          Ways of withdrawing consent for us to send you our newsletter
          If you no longer want us to use your email address for direct marketing purposes, you may let us know at any time by any of the following means:
          - Clicking on the unsubscribe link included in each newsletter;
          - Sending an email to contact@kimex.fr;
          - Clicking on My Account, going to the Newsletter section and unchecking the appropriate box.

          6. Use of cookies

          In order to improve the user experience offered by our website and allow you to access certain features, we use cookies. Cookies are small text files which are stored on your computer or smartphone. Some cookies we use last for the duration of your visit on the website and are deleted when you close your browser (‘session cookies’).           7. Use of Google Analytics

          This website uses Google Analytics, a web analytics service provided by Google, Inc. (www.google.com). Google (Universal) Analytics uses methods, such as cookies (text files which are stored on your computer), that make it possible to analyse how you use the website. The information generated by the cookie whilst you are using the website is likely to be transferred to and stored by Google on servers in the USA. Thanks to IP anonymisation on this website, your IP address will be truncated within a European Union member state or other state belonging to the European Economic Area before being transferred to the USA. Only in exceptional circumstances will your full IP address be transferred to a Google server in the USA and be truncated there. Your anonymous IP address will not be associated with any other data held by Google.

          8. Preventing the use of cookies on your browser

          You can prevent the data generated by cookies as a result of your use of the website (including your IP address) from being transferred to Google by downloading and installing the add-on at the following link: https://tools.google.com/dlpage/gaoptout?hl=en-GB.
          If you do not wish to install this browser add-on, you can click on this link in order to prevent any future collection of your data by Google Analytics. In this case, an opt-out cookie will be placed on your device. If you delete your cookies, you will have to click on this link again.

          9. Email invitation to submit a review via our partner Trusted Shops

          Within 7 days of placing your order, you will receive an email from our partner Trusted Shops (page 5 of the PDF), which fully complies with the provisions of the GDPR. This email will invite you to submit a review based on your customer experience. You are under no obligation to reply to this invitation. 

          10. Right of information (to be informed) and ways to contact us

          You have the right to be informed about the collection and use of your personal data, as well as the right to have it rectified or erased free of charge. To ask for your account to be deleted, you may send an email to contact@kimex.fr.
          If you ask us to delete your account and have placed an order using it, your data will no longer be used to contact you. However, we will need to retain it, as the law requires to archive billing-related data.

          As a data subject, you have the following rights:
          Pursuant to Article 15 of the GDPR, you have a right of access to personal data concerning you.
          Pursuant to Article 16 of the GDPR, you have the right to obtain, without undue delay, the rectification of inaccurate personal data concerning you. You also have the right to have incomplete personal data concerning you completed.
          Pursuant to Article 17 of the GDPR, you have the right to obtain the erasure of personal data concerning you, where processing is not necessary for:
